The company «MarKoNi» is located in Mykolaiv, one of the most important transport hubs of Ukraine. The city has three marine and one river port, a terminal for transshipment of mineral fertilizers, three shipyards, a railway junction, an airport, and a bus station. The company provides a full range of services for the maintenance of ships of foreign and coastal navigation, including towing services.
With the participation of LLC «Art Soft» in «MarKoNi», the automated accounting and control system developed on the technological platform was successfully put into commercial operation. The system consists of ready-made software solutions:
— typical configuration «Accounting for Ukraine», whose functionality solves typical (standard) tasks of automating accounting, tax accounting, and preparing regulated reporting in full compliance with the requirements of Ukrainian legislation;
— additional configuration «Art:Management of the shipping-towing company», developed by LLC «Art Soft» to expand the capabilities of a typical configuration in terms of solving specific (industry) accounting and management tasks in maritime companies involved in towing vessels.
The choice of a partner company for implementation is due to the fact that LLC «Art Soft» has been implementing and supporting programs for many years and is the leader in accounting automation in the south of Ukraine. LLC «Art Soft» employs specialists: certificates that successfully implement and customize typical software solutions for specific conditions and needs of users. In addition, LLC «Art Soft» has a number of ready-made sectoral proprietary accounting solutions. The main direction of such programs is the maritime transport business: seaports, terminals, stevedoring companies, maritime agencies, freight forwarding, shipping, and towing companies.
Sharing ready-to-run replicable programs (typical software «Accounting 8 for Ukraine» and additional configuration «Art:Management of the shipping-towing company») is optimal for financial and time costs. The customer received a system to automate the accounting and management of their activities, including industry-specific.
To adapt a typical software product for solving specific tasks for recording the Customer’s company’s activities in towing sea vessels in addition to the typical configuration «Accounting for Ukraine» embedded configuration «Art:Management of the shipping-towing company», which contains the following objects:
• Directory «Vessels» — used to store information about own and third-party vessels;
• Directory «Services» — contains data necessary for calculating the cost of work performed;
• Document «Registration of the vessel» — reflects the fact that the vessel has entered and contains data for calculating the cost of services provided;
• The document «Caravan» — is used to calculate the ice posting, when the tug is accompanied by one or more ships. The document records the time each ship is in the caravan and the total work time of the tug;
• The document «Account» — is designed to calculate the cost of work performed, the formation of standard documents «Tax invoice» and «Sales of goods and services.» The cost calculation depends on the parameters specified in the directory “Services”, in the document “Registration of the vessel’s call”, as well as on the time of day in which work is performed (overtime calculation). The calculation is performed both on the volume of the vessel and on the tonnage. Implemented the ability to print a transcript for overtime and ice support of ships;
• The document «Thermal Engineering Report» is intended to record the main technical indicators of the work of tugs. The document is reconciled with fuel consumption rates. It is possible to create a standard document “Write off goods” for writing off the actual consumption of oil and fuel;
• Reports: “Fuel report DT”, “Fuel report on oils”, “Registry of accounts for tugboat services”.
Automation was performed in a short time and without significant costs that the Customer would incur when developing a new program with the necessary properties from scratch.
As a result of the introduction of automated:
• Accounting in accordance with the standards of Ukraine;
• Formation of mandatory reporting to regulatory authorities;
• Conducting accounting taking into account branch features of shipping-towing companies;
• The work of an accounting economist in accounting for services rendered to vessels in accordance with the requirements of industry specifics;
• Formation of management reporting of the shipping-towing company;
• Ship Registration on approach to port;
• Reflection in the accounting of services of tugboats accompanying vessels in ice time (ice posting);
• Calculation of the cost of towing services and registration of the relevant invoices, additional interpretations to the accounts;
• Formation of the account register;
• Registration of fuel consumption tugs;
• Formation of heat engineering reports on fuels and lubricants.
The 1C-Zvit electronic regulated reporting system is connected and configured. The exchange of data with the system of remote management of bank accounts «Client Bank».
